Job Description

• Provide full administrative support for Top Management Level
• Provide phone, calendar and printing support for the General Counsel
• Calendar management and ability to anticipate needed changes
• Coordination and management of all logistics for board meetings including travel for out of town directors
• Travel arrangements
• Facilitate signature and approval requests
• Handle all aspects of administrative support in a timely and professional manner, including creation/review/revision/proofreading of memos, letters, presentations, and reports
• Prioritize phone, mail and E-mail messages; respond to requests on behalf of managers; track and follow-up on deliverables; maintain files
• Manage documents, including reviewing sensitive documentation
• Employee meeting oversight and preparation; Gather questions throughout the company intranet site, compile and in some cases create PowerPoint decks
• Conference Room scheduling
• Review and submission of board materials, as assigned


• 5 years experience in Secretary for Top Management
• Bachelor’s degree preferred in any field
• Fluent in English Skill (TOEIC Score 750 at least)
• High attention to detail
• Self-Directed, eager to learn and take initiative
• Excellent follow-through skills, both written and verbally, and understands the appropriate time for each
• Excellent organizational skills
• Outstanding multitasking skills
• Proficient general technical skills including the following specific applications
• Strong Microsoft, Excel, Word, PowerPoint and Access skills
• Strong written and verbal communication skills
• Effective time management skills and ability to work under deadline pressure
• Ability to work effectively and efficiently in a distracting and ever-changing environment
• Flexible with overtime hours, early morning hours, late evening hours, as needed on a limited basis
